Procurement first.

If you only fix one thing in your IT lifecycle, fix procurement. Almost every constraint that frustrates a sustainability programme three years later — spare parts unavailable, firmware no longer signed, OS upgrades blocked, ITAD options limited — was locked in at the contract.

This lesson covers the clauses worth fighting for in every tender, the certifications worth requiring (not negotiating), and the two questions that should sit at the top of every RFP.

Procurement is the biggest lever you have

Most lifecycle decisions are locked in here

A typical knowledge-worker laptop spends 4–6 years in service. During those years, hundreds of operational decisions affect its lifecycle: when batteries get replaced, whether the OS gets upgraded, who repairs the screen, what happens at decommissioning. The catch: almost all of those decisions were constrained by what the procurement contract allowed.

A vendor agreement that ties you to 3-year leases, forbids third-party repair, has no spare-parts clause, or specifies proprietary refresh cycles will wipe out everything the lifecycle team tries to do downstream.

The two questions to ask before signing anything:

How long can this device be supported? Firmware update commitment, spare-parts availability window, OS upgrade path, BIOS/UEFI signing keys.

What happens at end of life? Trade-in programmes, take-back guarantees, certificate-of-destruction process, freedom to use a third-party ITAD partner.

If the answers don't reach 6 years of supported life and a clean end-of-life path, you are buying a 3-year disposable. The carbon math will follow.

Standards worth requiring, not nice-to-have

Independent labels and standards relevant to corporate IT procurement in the EU. Add them as minimum requirements in tenders rather than negotiating them per vendor.

Choosing the right device class

Engineered for fleet life, not consumer cycles

Consumer laptops (the latest ultraportable, the thinnest macbook) are designed around a different lifecycle than business laptops. They are optimised for retail appeal — slim, light, fast — at the cost of repairability and longevity. They are not what professional fleets should buy.

Business-grade lines exist precisely for this market segment:

Lenovo ThinkPad (T-, L-, X-series) — the textbook business laptop. Designed for 5+ years of service, modular RAM and SSD on most models, spare parts widely available, Lenovo Premier Support optional for next-business-day on-site repair.

Dell Latitude / Precision — equivalent business lines. ProSupport and ProSupport Plus include accidental damage and next-business-day on-site repair.

HP EliteBook / ProBook — similar story. EliteBook is the higher tier; ProBook is the more budget-conscious sibling. HP Active Care includes proactive monitoring.

Framework Laptop — modular by design. Every major component (mainboard, ports, screen, keyboard, battery) is user-replaceable. Higher upfront cost, but the carbon and TCO math over 6+ years often beats traditional fleet laptops.

Avoid consumer lines (XPS for fleet use, MacBook Air for shared roles, Yoga consumer line). The repair experience and parts availability are very different.
Knowledge check A vendor offers a 30 % discount in exchange for a 3-year lease with mandatory return at end of term, no individual purchase option, and the vendor's exclusive ITAD partner. Should you accept?
